For Operations
Run every location from
one operational view.
Inventory, receiving, transfers, expiration, and retail without spreadsheets, phone calls, or institutional knowledge holding the organization together.
The Reality
Central visibility.
Local execution.
Monday morning across multiple locations. You don't know what's actually in stock at each office without manual calls. You can't see what expired last month before it was used. A transfer request means a phone call, a text, and waiting.
When a recall is announced, you're calling every location individually and hoping someone checks the shelf. When a product is missing, the investigation starts with email.
iPothecary gives operations teams a shared system for product catalog, receiving, inventory, transfers, expiration, holds, and retail activity — with audit history and role-based access so staff can execute locally without giving everyone access to everything.

Platform Capabilities
What operations teams actually use
Multi-location visibility
See on-hand quantities, reserved stock, and held inventory across all locations from one view. No calls. No spreadsheet consolidation.
Product receiving
Record received lots, package information, expiration dates, and vendors at the point of receiving. Every receipt tied to a vendor and purchase order.
Inventory transfers
Submit, approve, and track transfers between locations. Full audit history of what moved, when, and who authorized it.
Expiration tracking
FEFO allocation and expiration alerts before products become liabilities. See what is expiring across every location in a single view.
Holds and quarantine
Place inventory on hold for a recall, quality issue, or pending review. Stock is removed from available inventory without deleting the record.
Roles and permissions
Staff execute locally. Operations leadership sees everything. Administrators manage the catalog. Permissions follow the organization's actual structure.
Audit history
Every inventory movement, adjustment, transfer, hold, and disposal is recorded — with who, when, and why. Not just the current state.
Cycle counts
Periodic physical count workflows with discrepancy resolution. Compare counted quantities against system records and document any adjustments.
How it works
A recall is announced Tuesday at 11am.
Operations searches the product in iPothecary and identifies the recalled lot number.
The system surfaces which locations received that lot, how much arrived, and how much remains on hand.
Teams can place holds on affected inventory at each location and remove that stock from available quantities.
Transaction history shows whether any affected lot was sold, and to whom.
Every action is timestamped and attributed — so the response is documentable.
Operations can confirm the scope from a shared record instead of coordinating every office manually.

Software alone doesn’t standardize a multi-location product program.
We work with your team to understand how products are purchased, received, stocked, transferred, sold, and managed during safety events—then configure iPothecary around that operation.
